Privacy notice for applicants

SMARTSCALE acts as the data controller for applicant data collected through this job board. We share shortlisted profiles with the hiring client for a specific role, and only after telling you which client it is.

Your name, email, phone number, LinkedIn profile, the location you give us and any message you write. We do not ask you to upload a CV or other documents. We also record which role you applied for, when, and the wording of the consent you accepted.

We process your data on the basis of your consent so that we can assess your suitability for the role you applied for and, where relevant, for similar roles. We do not sell your data and we do not use it for automated decision-making.

By default we keep applicant records for 12 months from your application, after which they are deleted or anonymised. Individual roles may set a shorter window. If you are placed through us, we keep the records needed for the placement contract.

The recruiters working the search, and the hiring client if you are put forward — with your knowledge. Our hosting and database providers process the data on our behalf under contract.

You can ask us for access, correction, deletion, restriction, a copy of your data, or object to processing. You can withdraw your consent at any time using the link in the confirmation we send you, or by replying to any email from us. Withdrawing consent flags your record for erasure and stops us considering you for further roles.

Documents are stored in private storage that is not publicly reachable; access requires an authenticated, time-limited link. Access is limited to the recruiters who own the search.
